YOUTH SPORTS PHOTOGRAPHY TERMS & CONDITIONS

(Required Acceptance at Checkout)

By completing checkout, you (“Client”) agree to the following Terms & Conditions for photography services provided by the Photographer/Company (“Photographer”).

1. Scope of Services

The Photographer will provide youth sports photography services for the event, team, organization, or athlete(s) indicated at the time of booking. Services may include action photos, portraits, team photos, candid images, or other coverage as described in the product listing.

All services are subject to game conditions, league rules, and Photographer access limitations.

2. Fees & Payment

All fees, including event coverage, travel fees (if applicable), and additional products, must be paid in full at checkout unless otherwise stated.

Retainers or booking fees are non-refundable.

3. Deliverables & Turnaround Time

The Photographer will deliver edited digital images, prints, or products according to the product description associated with the booking. Standard turnaround time is typically – business days, but may vary during peak seasons.

The Client understands that:

• Final image count is not guaranteed.

• The Photographer will make every reasonable effort to capture each athlete, but coverage depends on factors such as fielding position, lineup order, playing time, weather, and other uncontrollable variables.

• Portrait-style shots can be taken before or during warm-ups; parents/guardians are responsible for assisting with posing if desired.

4. Consent to Photograph Minors

By booking, the Client confirms that:

• They have authority to allow the Photographer to photograph the participating minors;

• The league/team has obtained necessary parental/guardian permissions for photography.

The Photographer is not responsible for collecting individual consent forms unless specifically stated.

5. Model Release & Marketing Use

Unless the Client provides written notice before the event, the Client grants permission for the Photographer to use images from the event—including images of minors—for business marketing, social media, website display, product examples, and promotional materials.

To opt out, the Client must email the Photographer prior to the event with the child’s name and restrictions.

6. Copyright & Usage Rights

All images remain the intellectual property of the Photographer.

The Client receives a limited license to download, print, and share images for personal, team, or community use.
Images may not be altered, sold, redistributed, or used commercially without written permission.

Raw (unprocessed) files are not provided.

7. Event Changes, Weather, & Cancellations

Youth sports events are subject to delays, weather conditions, schedule changes, and field access limitations.

• Client Cancellations: All booking fees and retainers are non-refundable.

• Weather or League Rescheduling: Photographer will attempt to accommodate new dates. If unavailable, payment may be credited to a future session at the Photographer’s discretion.

Photographer cannot guarantee coverage if the event or athlete’s participation schedule changes last-minute.

8. Liability Limitation

The Photographer is not responsible for:

• Missed shots due to game conditions, access restrictions, safety rules, or athlete placement

• Injuries occurring at the event

• Delays or performance issues caused by weather, equipment malfunction (beyond reasonable backup measures), or circumstances outside the Photographer’s control

Liability is limited to the amount paid for the booking.

9. Safety & Conduct

The Photographer will comply with league, school, and facility rules regarding field access and player interactions.
The Client agrees that the Photographer must be allowed to work safely and without interference.

10. Editing & Artistic Style

By booking, the Client acknowledges that:

• Images will reflect the Photographer’s artistic style

• The Photographer has full discretion in image selection and editing

• Additional editing requests may incur extra fees

11. Gallery Access & File Storage

Digital galleries remain available for a minimum of 30 days unless otherwise specified.
The Client is responsible for downloading and backing up their images. Long-term gallery storage is not guaranteed.

12. No Guarantees

The Photographer cannot guarantee:

• A specific number of images

• Equal numbers of photos of each athlete

• Full coverage of every play or moment

• That all requested shots can be captured due to real-time game conditions

The Photographer will make reasonable efforts to produce quality results under available circumstances.

13. Entire Agreement

By completing checkout, the Client acknowledges that these Terms & Conditions constitute the full agreement between the parties. No verbal agreements or side arrangements are valid unless confirmed in writing by the Photographer.

14. Changes to Terms

We may update these Terms & Conditions at any time. Updates take effect once posted on this page. Your continued use of the website indicates acceptance of the revised terms.
